Job Description:

Sylvan Fix and Flip is a residential project management company that facilitates the purchase, renovation, and sale of residential living spaces for dedicated investment groups. Sylvan Fix and Flip has a robust pipeline of residential renovation projects, a sophisticated infrastructure and financial stability. We currently manage the renovations for properties owned by various investment firms in the greater Southeastern United States.The Construction Administrative Assistant will perform administrative tasks that support both the Executive Director of Fix and Flip, and Director of Construction. These duties include but are not limited to; entering change orders for current renovations, working with the accounting department to ensure timely and accurate payments to vendors, data reporting for weekly and monthly meetings, notification to vendors and renovation managers of bid awards. The ability to identify opportunities for improvement and recommend corrective action or next steps to address all identified issues is a key component of success.RESPONSIBILITIES

  • Participate in meetings and conference calls, maintains communications and flow of information for projects both internally and with other departmental stakeholders
  • Prepares general correspondence such as memos, letters, reports and agendas
  • Monitor the construction process from Due Diligence through completion to ensure that Renovations Managers, contractors and vendors comply with all required dates and documentation
  • Prepares contracts, subcontracts and change orders for projects
  • Coordinates document flow between vendor, project managers and other departmental stakeholders
  • Manages calendars and coordinates meetings
  • Orders Supplies and PPE items needed for the field staff
  • Assists in the preparation of weekly and monthly reporting on project progress
  • Other duties as assigned by the Executive Director of FNF or Director of ConstructionREQUIREMENTSAssociates degree in business or a related discipline3+ years of administrative support in the construction or real estate industryStrong Technical Skills: Microsoft Office Word / Excel; Ability to easily learn company specific programming and applicationsAbility to learn company-specific software and applicationsAttention to detail; highly analyticalExperience dealing with general contractors, subcontractors, vendors, and other construction industry individualsAbility to work and communicate with people in varying disciplines with different backgroundsAbility to manage multiple tasks to successful completion under varying deadlines simultaneouslySelf-motivated, able to work independently to complete recurring tasks and respond to department requestsAbility to hold confidential all information that is proprietary to the management of Sylvan Road, subsidiaries, affiliates and investorsCOMPENSATION & BENEFITS SUMMARY
