The role: The Bold Caterin Office Sales Assistant is a highly responsible administrative and support figure for the sales and operations department. This person works under the direct supervision of the Director of Sales. The job requires strong organizational, communication, customer service and administrative skills as well as a basic understanding of the sales process. The employee must exercise considerable initiative, independent judgment, tact, flexibility and discretion.

Reporting Structure

The BC Office Sales Assistant reports directly to the Director of Sales.

Customer Service

  • Answer phones. Act as 'point of entry person' or 'first contact' with potential clients as well as handle all phone inquiries and communications, to include:

? Routing potential sales calls based on territories and sales rules

? Take messages and /or direct calls to v.m. boxes for sales personnel

? Route calls messages left on BAE general voice mail

? Answer basic inquiries ands describe basic services provided by BAE

  • Greet clients/guests arriving at BAE Sales office.

Financial

  • Categorize, record and track financial numbers for daily/weekly/quarterly reporting to G.M. and Director of Sales, to include but not limited to:

? All related Sales and Production Reports

? Accounts Receivable

? Data Reports across FGR/ Design and Catering Divisions as necessary

  • Act as liaison between sales and accounting with regard to deposits and P&L information to insure timely information exchange, including Weekly Financial Package.
  • Assist in development & compilation of BAE Business Plan information.

Sales Support

  • Assist Sales Managers with Caterease updates.
  • Update main event board each week with definite and tentative events
  • Prepare marketing materials for sales managers, to include
  • Catering Guides
  • Printed marketing materials
  • Assists with Social Media marketing efforts for Studio 887, King Plow Gallery and Bold Tastings
  • Assist Sales Managers with reconciliation invoices after each and every event. Enter them into menu link and liaison with accounting for proper postings.
  • Monitor and review event entries (in caterease & e-menus software) to ensure accurate data storage and reporting, including confirmed and tentative events, sales by type, sales by source.

Event Management Support

  • Put together EM books with ops packs, and other important event info
  • Responsible for creating all food signs, table numbers, directional signs and special menus
  • Additional support as needed

Administrative

  • Update all sales reports including all sales and production numbers.
  • Responsible for all office supply ordering for Sales and Operations.
  • Maintain all sales files including policy materials, financial tracking, and all computer files.
  • Responsible for all miscellaneous assignments from Sales Managers, Director of Sales and General Manager including, but not limited to:

o Specific cost control tracking and reporting

o Running all credit card charges

o Sending out packages for pick up

o Maintaining office equipment

o Sales & Marketing support tasks

Position Requirements

Basic skills required include the ability to:

  • Provide exceptional customer service to potential and established clients by
  • Handling, routing phone messages, inquiries and other communications
  • Answering basic questions
  • Describing Bold American Events Catering services
  • Greeting clients/guests

  • Categorize, record and track financial numbers for daily/weekly reporting and financial packets
  • Assist in development and completion of business plan information and projects and banquet event orders
  • Update event boards
  • Prepare and package catering marketing materials as needed
  • Monitor and ensure accurate event data storage and reporting
  • Create event signage
  • Update and maintain sales reports, order supplies, maintain files and manuals and perform all miscellaneous assignments

Additional skills and basic characteristics include:

  • 2+ years experience in administrative role - catering/events services preferred
  • Strong organizational skills
