Job Description:

The Assistant Director is responsible for assisting in building and growing an effective annual giving program at Spelman College. The Assistant Director will administer and manage reunion giving, volunteer engagement strategies, parent campaign and the parent association and work closely with the Director of Annual Giving and other staff to develop fundraising strategies, identify prospective annual fund donors and integrate with college-wide and alumnae initiatives.
Essential Duties and Responsibilities:
Reunion Class and Volunteer Management:

  • Serves as the Annual Giving representative at all Reunion Committee Meetings and partners with the Office of Alumnae Affairs to support and manage Reunion weekend logistics.
  • Assists in short and long range planning activities to create and implement fundraising goals and objectives regarding Reunion. Coordinate efforts with Annual Giving team, SpelAgents, and other Reunion volunteers to solicit alumnae during their reunion year. Attend all necessary reunion functions and events.
  • Manages a portfolio of President's Society level donors and prospects, (currently $1,000 - $9,999 annually). Conduct monthly visits with prospects assigned in the portfolio (at least 3 - 4 per month.)
  • Develops a standard process for moving donors from the annual giving level to the President's Society gifts level, including ways to increase engagement with the College.
  • Works with the Director of Donor Relations to steward, retain and cultivate donors at this level, including design and execution of a welcome package and special events.

    Reports and Data Management:

    • Provides reports to SpelAgents and Annual Giving staff to track the progress of each reunion class, coordinate, and produce mailings for assigned classes.
    • Manages the distribution of reunion class lists, including generating, formatting and sending to class agents and monitor, evaluate and provide reunion giving stats and reports.
    • Refreshes the reunion summary report and update reunion chart on EWEY on a weekly basis.
    • Generates Reunion Giving analysis reports, monitor pledge reports, and provide progress towards goals.
    • Manages the Philanthropy awards reports, including compiling giving and donor totals for all classes.
    • Works with Alumnae Affairs and Donor Relations departments to compile the Blue Note Banquet presentation and scripts.
    • Provides support to staff by assisting with generating all mailing, email and phone lists for all Annual Giving solicitations and serve as the liaison with the Office of Advancement Services

      Manages the Operations of the Parents and Family Association:

      • Serves as the department liaison for the SPCFA Chairs, Regional Coordinators, and Executive Committee Members.
      • Collaborates with the Office of Student Affairs with newsletters, conference calls, NSO and Family Weekend.
      • Facilitates Executive Committee campus meetings and conference calls.
      • Creates all publications, direct mail appeals and emails for the Parent Association with the purpose of recruiting members, soliciting gifts, and disseminating College information.
      • Manages the Parent Campaign and coordinate efforts with the Annual Giving Team to meet participation and revenue goals from Spelman Parents.
      • Attends all necessary campus meetings and events representing the Parents Association.
      • Provides status reports as necessary (daily or weekly).
      • Attends Annual Giving and Institutional Advancement staff meetings as needed. Be a visible part of the Spelman Community to alumnae, donors, friends, parents, and students.
      • Collaborates and assist the Annual Giving Team with the solicitation strategies for Direct Mail, Reunion Campaign, Founders Day, Campus Campaign, and Parent Association

        Education and/or Experience:
        Bachelor's degree and least three to five years of related work experience required, preferably in higher education fundraising and annual giving programs including, data and reporting, personal solicitations and managing volunteers. Proven experience in building and strengthening relationships with donors and proven fundraising success.
        This position requires strong customer service focus, excellent written, verbal and time management skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential. Independent judgment is necessary to plan, prioritize and organize a diversified workload with attention to detail. Work requires fact-finding and compilation skills plus ability to perform a variety of tasks simultaneously, at times with little supervision.
        Excellent oral communication skills are required when presenting information and responding to questions from students, parents, employees and the general public in one-on-one or group situations. Incumbent must be able to write business correspondence and procedure manuals and compose memos, letters, and e-mails. Good proofreading skills are essential.
        To perform this job successfully, an individual must have the ability to perform advanced skills using Microsoft Office Suite (Word, Excel, and PowerPoint). In addition to producing correspondence, duties may involve assignments that require creating brochures, PowerPoint presentations, newsletters, computer generated graphics, use of Lotus Notes, Banner Advancement Module and Internet navigation.
