DESCRIPTION Michael Baker is actively seeking an Administrative Assistant to join our Norcross, Georgia office to support the Aviation Design Group. The Administrative Assistant will provide full time administrative services to a dynamic team of Engineering professionals in support of Aviation projects.

  • Overall support of the Aviation Design Group staff on a variety of administrative and clerical tasks.
  • Prepare and distribute subconsultant agreements.
  • Assist in preparing and distributing client contracts.
  • Prepare project manuals for construction projects.
  • Prepare and distribute contractor closeout documents.
  • Work closely with project managers to track FAA grant information.
  • Assist with editing, printing and assembly of reports for marketing/proposal submittals.
  • Support the Aviation Design Group in various tasks that require above average knowledge of Microsoft Word and Excel.
  • Organize and maintain file system.
  • Coordinate and arrange meetings, reserve and prepare meeting facilities, and arrange food ordering if needed.
  • Coordinate travel arrangements with Travel Department, as needed.
  • Maintain personnel records of Aviation staff.
  • Coordinate new employee onboarding with Human Resources.
  • Coordinate new employee computer equipment acquisition with Digital Services.
  • Assist with conference and professional functions registrations.
  • Enter and maintain project opportunities into the Sales Online system.
  • Other duties as assigned. Duties that may occasionally be required:
    • Answer questions about organization and provide callers with address, directions, and other information.
    • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
    • Receive and sign for deliveries and courier packages.
    • Order and receive office supplies.
    • Distribute incoming mail and handle outgoing mail and packages. PROFESSIONAL REQUIREMENTS
      • High School diploma and have 1-2 years of related work experience. Higher education a plus.
      • Above average proficiency with Microsoft Office suite.
      • Excellent communication skills for internal associates and external clients; experience in general office support.
      • Basic accounting skills.
      • Ideal candidate will also have professional maturity and dependability.
      • Excellent English language skills, written and verbal, are essential to success in this role.
      • Above average time management skills.
