Requisition Number 18-3732 Title (GCA) Administrative Assistant City atlanta State ga Description The Administrative Assistant provides general administrative support services to the School Office staff including processing mail, handling incoming phone calls, greeting guests, ordering supplies, maintaining office equipment, and other duties that create a pleasant, organized work environment which promotes productivity. The Administrative Assistant coordinates events, assists with special projects as requested, and is supremely attentive to facilitating effective communication between families, teachers and the general community. The below statements are intended to describe the general nature and scope of work being performed by this position. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties. - Assists in maintaining contact with families, teachers, and other community members; Greets guests who visit the office; Manages the school's general information email address; Handles all incoming calls and the telephone system as a whole; - Maintains accurate addresses, phone and email information in student management system (TotalView School); - Sorts and distributes mail; Coordinates all incoming/outgoing package processes on-site (Fed-Ex, UPS, courier service); Acts as K12's point-of-contact for questions regarding logistics and shipping; Maintains postage meter, mailing and package shipment supplies; Processes incoming and out-going faxes; - Assists with inventory and maintenance of all office equipment, supplies, and services; Fulfills approved materials requests; - Sets up conference calls, meetings and office functions both on and off-site; Coordinates special events; Creates and maintains administrative calendars in Outlook, as needed; - Supports administrators with local enrollment processes as needed; Helps distribute school-wide communications approved by administrative team; - Keep all conference rooms, kitchen and general traffic areas clean and in order. Requirements MINIMUM REQUIRED QUALIFICATIONS: - One (1) year of administrative work experience Certificates and Licenses: None required. OTHER REQUIRED QUALIFICATIONS: - Great organizational and time management skills - Strong written and verbal communication skills - Working knowledge of digital phone systems (PBX or others) - Professional experience using MS Excel, MSWord, and Outlook - Experience using search engines (Internet) for research projects - Experience using a student information system and/or other type of database - Ability to pass required background check DESIRED QUALIFICATIONS: - Experience with inventory management WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
